Google Drive Sync: Site Photos Mirrored to Your Drive by Project, Building, Floor and Room
AsBuilt now mirrors project photos and notes to your organisation's Google Drive, sorted by project, building, floor and room. Here's how it works.
· Google Drive sync
Photos taken on site are only useful if the people who need them can find them. In practice, that often means someone exporting images at the end of the day, renaming files, and dragging them into a shared folder by hand. When a room gets renamed or a bad photo is removed in one place, the copy in the shared drive drifts out of date. Office staff, clients and subcontractors end up looking at a folder that no longer matches what the site team recorded.
For teams that already keep project records in Google Drive, this creates a second filing job on top of the documentation itself.
What's new: Google Drive sync
AsBuilt can now mirror your project photos and notes to your organisation's Google Drive. Every photo captured on site lands in Drive automatically, organised the same way you structure work in the app: by project, building, floor and room.
Here is what the first release does:
- Connect once per organisation. An administrator connects a Google account through a standard Google sign-in and permission flow. The connection applies to the whole organisation.
- A clear folder structure. Connecting creates an
AsBuilt/<project>root folder in Drive. Inside it, folders follow your project, building, floor and room layout. Folder names include the project address, so projects with similar names are easy to tell apart. - New photos appear within a minute. When someone adds a photo to a room item, it shows up in the matching Drive folder within one minute.
- Renames carry over. If you rename a room in AsBuilt, the corresponding folder in Drive is renamed to match.
- Deletes carry over. If you delete a photo in AsBuilt, it is deleted in Drive as well, so outdated or incorrect images don't linger in the shared copy.
- Sync everything now. A manual "Sync everything now" action lets you push the full project to Drive on demand, for example right after connecting or before sharing a folder with someone.
Why it matters on site
The site team keeps working the way they already do: walk the building, take photos, add notes. The filing happens in the background. People in the office can open Drive and find the latest photos for a specific room without asking anyone to send them, and the structure in Drive stays in step with the structure in the app as the project changes.
Because deletes and renames are mirrored, it's worth keeping in mind that Drive reflects the current state of the project in AsBuilt. If you remove a photo in the app, expect it to be removed from the Drive folder too.
How to try it
- Sign in to AsBuilt with an account that can manage your organisation.
- Start the Google Drive connect flow and sign in with the Google account that should hold your project folders.
- Check Drive for the new
AsBuilt/<project>folder. - Run "Sync everything now" to bring existing project photos across.
- Take a new photo on a room item and confirm it appears in the matching room folder within a minute.
If your team already lives in Google Drive, this removes the end-of-day export step and keeps your shared records matching what was captured on site.
